Personal data relates to a living individual who can be identified from that data.  Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”).

The Mind and Soul Foundation is an online resource exploring Christianity and Mental Health for leaders. The Mind and Soul Foundation is the ‘Data Controller’, represented by the Directors. This means they decide how your personal data is processed and for what purposes.
 

3. How do we process your personal data?

 
The Mind and Soul Foundation complies with its obligations under the “GDPR” by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.
 
We only hold the following data: name [first name and last name] and email. We assign a login name and password, which you can change.
 
We use your personal data for the following purposes: -
-- To enable us to provide a voluntary service for the benefit of the public through our website;
-- To administer membership records;
-- To fundraise and promote the interests of the charity;
-- To inform you of relevant news, events, surveys/research and activities.
We encourage you to visit your ‘My Profile’ page on our site to make any changes to the data we hold. You will need to login to see this. Your login name is included at the bottom of our emails and there is a ‘reset your password’ link if you have forgotten this.
 
We also have pages on social media. This data is not held on our main website and is governed by the Privacy Policies of these media organisations. You should ensure your social media preferences are up to date and reviewed often. We do not export data from any adverts we run.
 

4. What is the legal basis for processing your personal data?

 
Explicit consent of the data subject so that we can keep you informed about news, events and activities. We do not process special category personal data (such as sensitive personal data). We do not use this website/database finances, including regular donations and gift aid. Instead, we use a separate platform which is run by Stewardship Services and has its own Privacy Policy. We do not send/store data to other jurisdictions / outside the European Union. All our data is stored on UK servers. We do not undertake any automated decision making or profiling.
 

5. Sharing your personal data


Your personal data will be treated as strictly confidential and not be shared with other registered users of the website. We do not share your data with third parties outside of the website.
 

6. How long do we keep your personal data?


We keep data for as long as you give us consent. We do aim to accumulate a large contact database, so some of our data has been held for several years. To keep your personal data as up-to-date as we can, we delete records where an email has been identified as not delivered’ on three or more occasions.
 

7. Your rights and your personal data 

 
Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data: -
-- The right to request a copy of your personal data which The Mind and Soul Foundation holds about you;
-- The right to request that Mind and Soul Foundation corrects any personal data if it is found to be inaccurate or out of date; 
-- The right to request your personal data is erased where it is no longer necessary for Mind and Soul Foundation to retain such data;
-- The right to withdraw your consent to the processing at any time
-- The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
-- The right to lodge a complaint with the Information Commissioners Office.

If we wish to use your personal data for a new purpose, not covered by this Policy, then we will provide you with a new Policy explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.

Remember to close your web browser when you have finished your user session. This is to ensure that others cannot access your personal information and correspondence if you share a computer with someone else or are using a computer in a public place like a library or Internet cafe. You as an individual are responsible for the security of, and access to, your own computer.
 
Please be aware that whenever you voluntarily disclose personal information over the Internet that this information can be collected and used by others. In short, if you post personal information in publicly accessible online forums, you may receive unsolicited messages from other parties in return. Ultimately, you are solely responsible for maintaining the secrecy of your usernames and passwords and any account information. Please be careful and responsible whenever you are using the Internet. We do not host any such forums.
